By accessing or using Accovo, you agree to the practices described in this Privacy Policy. If you do not agree with these practices, please do not use our Services. This policy applies to all visitors, users, and customers who access our platform globally.

To provide our connected financial CRM tools, we collect several categories of information:

• Account & Profile Information: Name, business name, corporate address, email address, phone number, and tax identifiers (such as GSTIN in India, VAT registration in Europe/UK, or EIN in the US).
• Financial & Transactional Data: Invoices, billing details, vendor directories, purchase records, bank transaction logs, tax categories, and general ledger details that you upload, sync, or input.
• Integration Information: Credentials, access tokens, or API keys needed to link third-party services (such as banking feeds, Tally, QuickBooks, Xero, or Stripe payment links) to your Accovo dashboard.
• Device & Usage Data: IP addresses, browser types, operating systems, and page interaction logs recorded during your login sessions.

We process your personal and transactional information based on legitimate business operations, compliance with legal obligations, and fulfillment of our contract with you:

• Platform Management: Providing, maintaining, and improving our CRM features, including invoice generation, automated payment reminders, and real-time cash flow forecasting.
• Integrations & Syncing: Pulling bank statements via secure APIs and generating double-entry journals automatically to reconcile accounts.
• Regulatory Compliance: Calculating sales tax, GST, or VAT margins based on multi-country frameworks and maintaining transaction logs for corporate audit readiness.
• Support & Communication: Answering product support tickets, resolving billing issues, and issuing security alerts.

We do not sell, rent, or trade your corporate financial data. We share your information only in the following limited cases:

• Authorized Sub-processors: Cloud storage vendors (such as AWS), transactional mail handlers, and payment processors who support our operational infrastructure under strict confidentiality terms.
• Third-Party Integrations: When you connect external accounting apps (e.g., Tally) or link bank accounts, we transmit data as requested by your settings.
• Legal Mandates: To comply with government tax audits, financial audits, or legally binding orders from law enforcement agencies.

Accovo implements enterprise-level security measures to protect your critical financial databases:

• Encryption: All data is encrypted in transit using TLS 1.3 protocols and at rest using AES-256 standards.
• Access Controls: Fine-grained role-based permissions restrict database access within the software to authorized members of your workspace.
• System Isolation: Customer accounts are logically separated to prevent cross-account leakages or unauthorized cross-tenant data requests.
• Compliance Frameworks: We perform regular code safety reviews, security tests, and follow SOC 2 recommendations to maintain platform integrity.

We retain your data for as long as your workspace account is active or as needed to provide our Services. If you cancel your Accovo subscription, we will retain financial records for up to 7 years to meet tax, statutory, and audit compliance requirements.

Upon your request, or at the end of the legal retention term, we will securely delete or anonymize your data from our main servers. Backups are overwritten on a regular, automated schedule.

Depending on your location (such as the EU under GDPR, India under the DPDP Act, or California under CCPA), you hold specific privacy rights regarding your personal information:

• Access & Portability: You have the right to request copies of the personal data we store and export them in structured machine-readable formats.
• Rectification: You can edit inaccurate contact, company, or profile settings inside your portal.
• Erasure ("Right to be Forgotten"): You may request the deletion of your account profiles, subject to regulatory tax record limitations.
• Consent Withdrawal: You may toggle off optional marketing alerts or disconnect third-party integrations at any time.

We update this Privacy Policy periodically to reflect shifts in technology, compliance requirements, or business models. Major changes will also be announced via your workspace login screen or direct billing email.
